Privacy Policy

VenuVio is operated by Acadia Music Group, Inc. (“we”, “us”), 6 Public Landing, Camden, Maine, United States. This policy explains what personal information VenuVio collects, why, how long it is kept, and what you can ask us to do with it.

0. Where this applies

This policy covers both VenuVio properties:

The same policy governs both, so the sections below say which one they mean where it matters.

1. Who this policy covers

VenuVio is a platform for booking live music. Three kinds of people appear in it:

  • Account holders — promoters, venues, artists, bands and their staff, who register and sign in.
  • People listed by someone else — an artist or venue a promoter has recorded in order to plan a show, who has not registered. Section 6 is about you.
  • Visitors — anyone browsing public event listings without an account.

2. What we collect

2.1 On the website, if you join the early-access waitlist

The form asks for your first name, last name and email address (required), and optionally what kind of user you are — venue, promoter, event planner, band, musician, artist/DJ, vendor or fan — what you would mainly use VenuVio for, roughly how many events you deal with, your city and state, and anything else you choose to tell us in a free-text box. You tick a box agreeing to be contacted.

We use this only to contact you about VenuVio early access. That is what you agreed to and it is the limit of it. Joining the waitlist creates an early-access account on the website (see 2.1a). It does not create an account on the VenuVio platform itself, and does not sign you up for general marketing. When early access opens we will invite you; you decide then whether to register.

The form also carries a hidden field that people never see and automated submissions usually fill in. If it is filled in we discard the submission. It collects nothing about you.

Withdraw at any time — reply to any message or write to info@venuvio.io, and we will delete your entry.

2.1a If you create an early-access account on the website

Joining the waitlist creates an early-access account on venuvio.io, so you can come back, see and change what you told us, and leave. That account holds what you entered on the form — role, primary use, volume, location and notes — plus a profile picture if you upload one.

There is no password. You sign in with a link we email you. We store a hashed, single-use token and its expiry so the link works once and then stops. We cannot read your link back out, and it is not a password.

You can delete the account yourself from the “Delete my account” page while signed in, or by writing to info@venuvio.io. Deleting it removes your profile and takes you off the waitlist.

We send email to the address you gave — the sign-in link, and messages about early access. Nothing else.

2.2 Browsing the website otherwise

The website sets no cookies on an ordinary visit, uses no analytics, and carries no advertising or social-media trackers. Our web server keeps standard access logs.

2.3 In the application

When you register: your name, email address, chosen username, account type, and optionally a website address and a note about why you are joining. We create a password for you, or you choose one.

When you build a profile: the act or venue name, description, booking contact details, genres, band type, line-up member names and instruments, photographs and media links, and the fee range you are willing to work for.

When you use the platform: the dates you mark yourself available or unavailable and any note attached to them; events you are booked for, including venue, date and fee; set lists where recorded; and messages exchanged through the platform.

Automatically: sign-in times and outcomes, pages visited within the application, and the standard technical information any web server records. The application uses a session cookie to keep you signed in — it is necessary for the service and is not used for tracking. We use no analytics or advertising cookies on either property.

We do not collect payment card details. When payments are introduced they will be handled by a payment processor and card details will not reach us.

3. Why we use it, and on what basis

We do not sell personal information, and we do not share it with advertisers.

4. What is public, and what is not

Nothing about your act is visible to other users until you publish it. A new profile is unpublished by default. When you publish, other signed-in users can see your act name, description, genres, line-up, media and the fee range you have stated.

Your availability is deliberately limited. Other users can see only whether you are busy or offering a date. They cannot see who booked you, where, or for how much — the platform is built so that information is not available to them, rather than merely hidden.

Your email address and phone number are never shown to other users. Booking contact details you enter on a profile are shown, because that is their purpose — put a business address there, not a personal one, if you would rather.

5. Who else sees it

  • The promoter or venue who books you — sees your profile, your availability, and the booking itself.
  • Our service providersDavid Norton Consulting, Inc. builds and hosts VenuVio for us and administers the systems it runs on. Oracle Cloud Infrastructure hosts the application and database and delivers our email; Microsoft provides mailboxes. All of them process your information on our instructions only and do not use it for their own purposes.
  • Nobody else, unless the law requires it or you ask us to.

6. If a promoter listed you and you never signed up

A promoter may record your act in order to plan a show. If that happens, we hold your act name and whatever booking contact they had, and the events they booked you for.

You can claim that listing and take control of it, or ask us to remove it — write to info@venuvio.io. When you claim it, the profile becomes yours: it moves out of the promoter’s control and into your own, and you decide whether it is published. The promoter keeps their own record of shows you played, which they need for licensing and accounting; they do not keep control of your profile.

7. Where it is held

On Oracle Cloud Infrastructure in the United States (Ashburn, Virginia).

VenuVio is offered to users in the United States. If you use it from elsewhere, your information is transferred to and held in the United States. For personal information originating in the UK or EEA we rely on the UK and EU Standard Contractual Clauses, and we honour the rights in section 9 wherever you live.

This matters for more than new users: some of the legacy contacts described in section 12 are in the UK and the EEA, so those rights apply to them whether or not they ever use the platform.

9. Your rights

Wherever you live, you may ask us to see what we hold about you, correct it, delete it, get a copy in a portable form, or stop a particular use. Write to info@venuvio.io. We will answer within 30 days.

If you are in the UK or EEA you may complain to your data protection authority. If you are in California you have the rights described above and we do not sell or share your personal information as those terms are defined there.

Deleting your account does not remove a promoter’s own record of a show you played, which they need for licensing and tax.

10. Security

Traffic is encrypted in transit. Passwords are stored hashed, never in readable form. Access to the production database is restricted and the database is not publicly reachable.

We will tell you if a breach affects your information, without waiting to be asked.

11. Children

VenuVio is not for people under 16. We do not knowingly collect their information. If a minor performs in a booked act, the booking is between us and the adult who made it.

12. Contact lists and listings from before VenuVio

Some of what is on VenuVio predates it. This section says exactly what, and what we have done with each.

Artist listings from our ReverbNation accounts

Between 2009 and 2011, people connected with our accounts on ReverbNation. About 200 of them were artists, and their act names are now on VenuVio as unclaimed profiles.

They are not published and appear to nobody. An unclaimed profile is not in the public event finder, is not visible to other users, and is not searchable. It exists so that if you are that artist you can claim it and take control of your own name here rather than someone creating a duplicate. We hold your email address from that ReverbNation record, privately, and use it only to check whether a person claiming your act is you.

We will never publish it for you. A profile becomes visible only when the artist claims it and chooses to publish it.

To have your listing removed, write to info@venuvio.io and say so. One line is enough. We will delete it, and the contact details behind it, without asking you for anything further.

Everything else stays off the platform

We also hold contact details for fans and other people from those same ReverbNation accounts, from an earlier website signup, and from booking forms we ran — roughly 370 people in total. None of them are on VenuVio. They are not visible to anyone, they have not been made into profiles, and they will not be added without asking the person first.

Some of these people are outside the United States, including in the UK and the EEA. Their rights under their own law apply to what we hold, and we honour them.

To have your details removed, write to info@venuvio.io and they will be deleted.

13. Changes

We will post any change here and update the date above. If a change materially affects how we use your information, we will tell account holders by email before it takes effect.
